Review Request Automation in HighLevel – Get More Google Reviews Automatically
HighLevel review request automation fires an SMS or email with a direct Google review link after a specified trigger – job completed, appointment showed, invoice paid. The workflow runs automatically for every qualifying customer, every time, without a team member remembering to ask. Configure the Google Business Profile integration first to get the direct review link. Then build the Workflow Builder automation: trigger on the completion event, wait 1 to 2 hours, send SMS with the review link. Most businesses see 3 to 5 times more reviews within the first month of activating this automation.
Why Automated Review Requests Work
Most satisfied customers never leave a review – not because they are unhappy, but because they forget and it never crosses their mind again.
An automated review request sent at the right moment – while the positive experience is still fresh – prompts action from customers who would have otherwise done nothing.
The timing is the key variable. Requests sent immediately after completion, while the customer is still in ‘job done’ mode, convert at higher rates than requests sent days later.
Setting Up the Google Review Link
In Settings, then Integrations, connect the Google Business Profile. Once connected, find the sub-account’s direct Google review URL – the link that takes customers directly to the ‘Write a review’ form.
Save this URL as a Custom Value – ‘Google Review Link.’ Use the Custom Value merge tag in the review request SMS and email templates.
Test the link by opening it on a mobile device and confirming it opens directly to the Google review form.
Building the Review Request Workflow
Trigger option 1: Opportunity Stage Changed to ‘Job Completed’ – fires when a team member moves the deal to the completed stage.
Trigger option 2: Appointment Status Changed to ‘Showed’ – fires after the appointment is marked as attended.
After the trigger, add a Wait of 1 to 2 hours (giving the customer time to get home before the request arrives) and a Send SMS action with the review message.
The Review Request Message
Keep the message brief and direct: ‘Hi [First Name], thanks for choosing [Business Name] today! If you have 60 seconds, a Google review would mean a lot to us: [Review Link]. Thank you!’
Direct, warm, short, and specific. The link goes directly to the review form – no navigation required.
Do not include a second request in the same message or make the customer feel pressured. One clear, friendly ask is enough.
Adding an Email Follow-Up
If the contact does not respond to the SMS within 3 days, send an email version of the review request.
The email version can be slightly more detailed – expressing specific appreciation for the customer’s business and including more context about why reviews matter.
After the email, remove the contact from the review request sequence to avoid over-messaging.
Monitoring Review Results
Check the Google Business Profile reviews section weekly to see new reviews generated by the automation.
Track the review count and average rating over time. Most businesses see review velocity increase meaningfully within 30 days of activating the automation.
