HighLevel Pipeline Automation uses Workflow Builder to move opportunities through pipeline stages automatically – without requiring manual stage updates. When a lead submits a form, an opportunity is created in the New Lead stage. When they book an appointment, it moves to Appointment Booked. When the job is completed, it moves to Completed. Each stage transition is triggered by a workflow action – connecting real-world events to pipeline position updates in real time.
How Pipeline Automation Works
Pipeline automation in HighLevel is built through Workflow Builder – specifically the Create Opportunity and Move to Pipeline Stage actions.
The Create Opportunity action creates a new deal record in a specified pipeline and stage when the action is reached in a workflow – triggered by a form submission, an appointment booking, or any other workflow trigger.
The Move to Pipeline Stage action moves an existing opportunity to a new stage – triggered by events like appointment completion, payment received, or tag applied.
Building an Automated Pipeline
Map the events in the business process that correspond to pipeline stage changes. Form submission = New Lead. Appointment booked = Appointment Scheduled. Job completed = Job Completed.
Build Workflow Builder automations that fire the Move to Pipeline Stage action when each corresponding event occurs.
The result is a pipeline that updates itself as the business operates – no team member needs to manually move cards; the pipeline reflects reality automatically.
Pipeline Automation with Opportunity Stage Changed Trigger
The Opportunity Stage Changed trigger in Workflow Builder works in the opposite direction – when a stage change occurs (manually or automatically), it triggers a workflow.
This creates a two-way connection: automation moves stages based on events, and stage changes trigger further automation. Job Completed stage triggers review request workflow.
Invoice Paid stage triggers thank-you email.
Together, the pipeline automation and stage change triggers create a fully automated post-job follow-up system that requires no manual intervention after the initial setup.
