Duplicate Contact Detection in HighLevel

HighLevel Duplicate Contact Detection identifies contact records that share the same email address, phone number, or name – flagging them as potential duplicates. When duplicates are detected, HighLevel provides a merge tool that combines both records into one – preserving all communication history, tags, notes, and activity from both records. Duplicate detection runs automatically when new contacts are created and can be initiated manually from the Contacts section.
How Duplicate Detection Works
HighLevel checks for duplicate contacts based on email address and phone number as the primary matching criteria.
When a new contact is created – through a form submission, import, or manual entry – HighLevel checks if a contact with the same email or phone already exists.
If a match is found, HighLevel either merges automatically (if configured) or flags the potential duplicate for manual review.
Merging Duplicate Contacts
The merge tool combines two contact records into one. During the merge, HighLevel presents both records side by side – allowing selection of which field values to keep when both records have different data for the same field.
After merging, all communication history, tags, notes, tasks, and appointments from both records are consolidated on the merged record.
The merged contact retains both email addresses and phone numbers from the original records – ensuring all future inbound communications on either contact method reach the correct merged record.
Preventing Duplicates at Import
The contact import process has duplicate handling settings – configure whether to update existing contacts when a matching email or phone is found, or skip the row.
Selecting ‘update existing’ prevents duplicate creation during imports from external systems. When new contacts come in from forms, HighLevel’s built-in duplicate detection handles the check automatically.
Regular deduplication audits – searching the Contacts section for common duplicate patterns – keep the CRM accurate over time.
