Conversation Tags with Color Coding in HighLevel

Updated: March 19, 2026  |  Author:

HighLevel Conversation Tags with Color Coding apply visual labels to conversations in the Conversations Inbox – making it easy to categorize, filter, and prioritize conversations at a glance. Create tags like ‘Urgent,’ ‘Awaiting Quote,’ ‘VIP,’ or ‘Follow-Up Needed’ with distinct colors. Apply tags to individual conversations manually. Filter the inbox by tag to see only the conversations that match a specific category. Conversation tags are separate from contact tags – they label the conversation thread, not the contact record.

Creating Conversation Tags

Conversation tags are created in the Conversations Inbox settings – find the tag management option in the inbox configuration.

Give each tag a name and select a color. Colors provide immediate visual scanning – red for urgent, yellow for pending, green for in progress.

Keep the tag list concise – 5 to 10 tags covers most categorization needs without overwhelming team members with choices.

Applying and Using Tags in the Inbox

Apply a conversation tag by opening the conversation and selecting the appropriate tag from the tag menu.

Filter the Conversations Inbox by tag to see only conversations with a specific label – showing all ‘Urgent’ conversations or all ‘Awaiting Quote’ conversations.

Conversation tags help team members prioritize their work within the inbox – sorting by urgency or category rather than by recency alone.
